The Transfer Fee Looks Low. Why Is Your Business Currency Transfer Still Expensive?

A Canadian company sending millions of dollars to an overseas supplier can pay a modest transfer fee and still receive less value from the transaction than expected. The reason may be hidden in the exchange rate, additional banking charges or the payment arrangements agreed before the money moves.

This matters when Canada businesses pay international suppliers, purchase equipment or settle recurring invoices in foreign currencies. A small difference in the conversion rate can have a much larger financial impact than the fee advertised on a provider's website. Understanding the full cost of a business currency transfer starts with looking beyond the transfer fee.

The Transfer Fee Is Only One Part of the Cost

A quoted transfer fee tells you what a provider charges for processing a payment. It does not necessarily show the full cost of converting Canadian dollars into another currency.

The exchange rate also matters. Some providers build a margin into the rate they offer, so the amount received in foreign currency may be lower than expected even when the separate transfer fee looks competitive.

The Financial Consumer Agency of Canada explains that transfer costs can include service fees and an exchange rate that is less favourable than the market reference rate. Although its guidance addresses international money transfers broadly, the distinction between transfer fees and exchange-rate pricing is also important when businesses compare payment providers.

For a finance team, the practical question is not simply, "How much does this transfer cost?" It is, "How much foreign currency will the company receive or deliver after all applicable costs?"

How a Small Rate Difference Can Cost Thousands

Consider a Canadian manufacturer purchasing equipment from a US supplier. The company needs to convert CAD 5 million into US dollars to settle its invoice.

For example, provider A quotes USD 0.735 per CAD, while Provider B quotes USD 0.728 per CAD. Suppose Provider A charges a CAD 25 transfer fee and Provider B charges CAD 45.

At the quoted rates, CAD 5 million would convert into approximately USD 3.675 million with Provider A and USD 3.64 million with Provider B, before other applicable charges. The difference is USD 35,000.

Provider A's transfer fee is CAD 20 lower, but the exchange-rate difference has a far greater financial impact in this example. This is why businesses should compare the amount they will receive, not just the fee displayed beside the transaction.

The same principle applies to recurring payments. A small difference on one invoice may seem insignificant, but repeated conversions across a year can affect purchasing costs, cash flow and planned margins.

Other Charges Can Reduce the Amount Received

The provider's transfer fee and exchange rate are not always the only costs involved. Depending on the payment route, financial institutions may charge for sending or receiving funds, and intermediary institutions may also deduct charges.

Payment instructions matter, too. The sender and recipient should establish who is responsible for applicable fees before the transaction is initiated. Payments Canada's guidance on wire payments for businesses explains how fees vary by financial institution and why businesses should confirm the charge arrangements.

The invoice amount and the amount credited to the supplier's account can differ if charges are deducted along the way. That can create an additional reconciliation task or leave an outstanding balance to settle.

Before approving a large payment, confirm the transfer fee, exchange rate, possible receiving or intermediary charges, and who is expected to cover them. This provides a clearer view of the expected cost and the amount the supplier should receive.

Payment Errors Can Create Avoidable Costs

Not every expensive transfer results from pricing. Incomplete beneficiary details, incorrect account information or payment instructions that do not meet the receiving institution's requirements can delay processing or require manual intervention.

Payments Canada's business wire payment guidance notes that accurate and properly formatted payment information helps support straight-through processing and can reduce delays and additional fees associated with manual handling.

Finance teams should verify the beneficiary's legal name, banking details, account number, routing information and required payment references before releasing funds. Internal approval procedures should also make it clear who checks the details and who authorizes the transaction.

These checks are particularly important when payments are time-sensitive. A delay can disrupt a supplier relationship or complicate a payment deadline, even when the original transfer fee was competitive.

How to Compare a Foreign Exchange Company in Canada

Choosing a currency exchange company requires more than comparing advertised fees. Finance teams need consistent quotes that reflect the transaction they intend to make.

Ask each provider to quote the same currency pair, amount and intended transaction date. Then compare the following:

  • Amount delivered: How much foreign currency will the recipient receive after the quoted conversion and applicable charges?

  • Pricing structure: What exchange rate applies, and are there separate transfer fees or other charges?

  • Payment arrangements: What funding deadlines, cut-off times and beneficiary details are required?

  • Transaction visibility: Can the team obtain a transaction record and check payment status?

A foreign exchange company in Canada should be assessed against the company's actual payment needs, transaction volumes and operational controls. The best comparison is based on the full cost and practical requirements of the transaction, not a claim that one provider is always cheaper than another.

Build a Consistent Process for International Payments

Companies making regular overseas payments can reduce uncertainty by using the same review process for each major transaction. Finance teams should record the quoted rate, expected amount received, applicable fees and final settlement details.

Comparing the completed transaction with the original quote helps identify unexpected deductions or differences. Reviewing this information over time can also reveal whether exchange-rate pricing, bank charges or payment errors deserve closer attention.

Export Development Canada's guidance on managing foreign exchange risk explains how currency movements can affect costs and profits for Canadian importers and exporters. Businesses with recurring exposure should consider currency risk as part of financial planning, rather than treating each conversion as an isolated administrative task.

Look Beyond the Advertised Fee

The real cost of an international payment becomes clear when the supplier receives the money and your finance team can reconcile the final amount.

A low transfer fee means little if the exchange rate or other charges make the transaction more expensive than expected. That is why Canadian businesses should compare the amount leaving their account with the amount their supplier is due to receive before approving a transfer.
